People who instruct us
What: your name, organisation, contact details, address, the reason for the trace, the details you give about the subject, payment tokens (we never see full card numbers), and technical data such as IP address and country recorded by our hosting provider to prevent abuse. For firm accounts: the work email addresses of the people allowed to sign in, sign-in times, uploaded spreadsheets, API keys (stored hashed) and the webhook address you give us.
Why: to perform the contract with you (Art. 6(1)(b)), to meet our legal obligations, and our legitimate interest in preventing misuse (Art. 6(1)(f)).
How long: 12 months after the case closes, then deleted. Trade account records are kept for the life of the account plus six years for audit and tax.
People we trace
What: name, date of birth or age, addresses past and present, and data from public and licensed sources that helps confirm an address.
Why: the legitimate interests of the instructing party (Art. 6(1)(f)) as recorded in a legitimate interests assessment for each case, or your consent where we contact you to pass on a message.
Sources: electoral registers, Companies House, HM Land Registry, court and insolvency registers, directories, business listings, open web and social sources, and licensed tracing data.
How long: 12 months after the case closes.
Your rights: you can ask what we hold, ask for correction or deletion, and object. Email hello@tracebureau.co.uk. We may not be able to tell you who instructed us where that would prejudice their legal rights, but we will tell you what we can.
Sharing
Results go only to the instructing party. Our processors are our hosting provider (Cloudflare), our payment provider, and our email provider, each under contract. We do not sell data.
Website
No cookies. Cookie-free first-party analytics that record the page, the referring site and a daily rotating identifier that cannot be tied to a person.
